The Office Manager ensures the efficient running of the company’s administrative, human resources, facilities, financial, and inventory management functions. This multi-disciplinary role also serves as the primary liaison with external accountants, auditors, and regulatory bodies for compliance, tax, and statutory reporting. The role requires strong organizational and communication skills, attention to detail, and a thorough understanding of office and operational management within a garment manufacturing environment.
Key Responsibilities:
Human Resource Management
- Maintain and update staff records including attendance, leave, and performance data.
- Manage recruitment, onboarding, orientation, and employee exit processes.
- Ensure compliance with company HR policies and applicable labor laws.
- Coordinate employee performance evaluations and training initiatives.
- Mediate staff grievances and support employee relations.
Facilities Management
- Oversee daily maintenance of office and factory premises.
- Ensure the facility complies with health, safety, and environmental standards.
- Manage vendor contracts for utilities, cleaning, repairs, and facility upgrades.
Administrative Duties
- Oversee general administrative operations such as supplies, travel, and document management.
- Maintain accurate company files, statutory records, and correspondence.
- Support executive staff with scheduling, meeting preparation, and internal coordination.
Bookkeeping & Financial Administration
- Manage petty cash, staff expense claims, and payment vouchers.
- Maintain accurate records of receivables and payables.
- Prepare financial data for internal use and monthly management reporting.
- Liaise with external accountants for preparation of management accounts and annual audits.
- Coordinate timely tax filings PAYE, VAT, WHT, Corporate Tax, etc. and ensure compliance.
- Serve as the point of contact for auditors, tax consultants, and regulatory agencies.
- Prepare and submit required reports to regulatory bodies e.g., tax authorities, industry regulators, CAC.
Stores and Inventory Management
- Supervise the receiving, issuing, and storage of raw materials, trims, consumables, and finished goods.
- Maintain and update inventory records using manual or digital systems.
- Conduct periodic stock reconciliations and physical audits.
- Liaise with the procurement and production teams to forecast and control material requirements.
Qualifications & Skills:
- Bachelor’s degree in Business Administration, Accounting, HR, or a related field.
- Minimum 5 years of relevant experience in office, operations, or administrative management preferably in a manufacturing setting.
- Familiarity with Nigerian tax laws, labor regulations, and corporate compliance.
- Working knowledge of accounting software e.g., QuickBooks, Sage and HR systems.
- Strong interpersonal, negotiation, and conflict resolution skills.
- High proficiency in Microsoft Office Suite Word, Excel, Outlook.
- Strong analytical, documentation, and reporting abilities.
- Trustworthy, detail-oriented, and highly organized.
