Job Summary

  • The Infrastructure and Projects Lead is responsible for overseeing the planning, delivery, maintenance, and continuous improvement of the organisation’s physical infrastructure, facilities, and strategic projects. The role ensures that infrastructure and projects are delivered efficiently, within approved budgets and timelines, and in line with organisational standards, operational requirements, and business objectives. The role will work closely with internal stakeholders, contractors, vendors, consultants, and management to coordinate infrastructure development, store and office projects, renovations, relocations, and other capital or operational projects.

Job Details

Infrastructure & Facilities Management

  • Oversee the maintenance, functionality, and operational readiness of the organisation’s physical infrastructure, facilities, offices, and retail locations.
  • Develop and implement preventive maintenance plans for buildings, equipment, utilities, and other infrastructure.
  • Coordinate repairs, maintenance, renovations, upgrades, and facility improvement initiatives.
  • Monitor infrastructure-related service providers and ensure agreed service levels are consistently achieved.
  • Identify infrastructure risks and recommend cost-effective solutions to improve reliability, safety, and operational efficiency.
  • Ensure facilities comply with relevant health, safety, environmental, statutory, and organisational requirements.

Project Management

  • Lead the planning, execution, monitoring, and closure of infrastructure and business projects.
  • Develop project plans, timelines, budgets, milestones, deliverables, and resource requirements.
  • Coordinate cross-functional project teams and ensure clear ownership of project deliverables.
  • Monitor project progress and proactively identify and resolve delays, risks, dependencies, and resource constraints.
  • Ensure projects are delivered within approved scope, budget, quality standards, and timelines.
  • Prepare regular project status reports for management, highlighting progress, risks, budget utilisation, and required decisions.
  • Maintain appropriate project documentation, including project plans, approvals, contracts, variation requests, completion reports, and handover documentation.

Store & Office Projects

  • Coordinate new store openings, store renovations, relocations, expansions, refurbishments, and closures.
  • Work with relevant teams to ensure new and existing locations are delivered in line with operational, brand, and commercial requirements.
  • Coordinate contractors, consultants, suppliers, landlords, and internal stakeholders throughout project execution.
  • Ensure projects are properly handed over to the relevant business owners upon completion.
  • Track defects and outstanding works and ensure timely resolution after project completion.

Budget & Cost Management

  • Develop project and infrastructure budgets in collaboration with relevant stakeholders.
  • Monitor project expenditure against approved budgets and provide timely variance reports.
  • Review quotations, cost estimates, invoices, and variation requests to ensure commercial value and compliance with approved budgets.
  • Identify opportunities for cost optimisation without compromising quality, safety, or business requirements.

Vendor & Contractor Management

  • Manage relationships with contractors, consultants, vendors, landlords, and other project partners.
  • Support the evaluation and selection of contractors and service providers based on capability, cost, quality, and track record.
  • Monitor contractor performance and ensure compliance with agreed scope, timelines, quality standards, and contractual obligations.
  • Escalate persistent performance issues and recommend appropriate corrective actions.

Risk, Compliance & Safety

  • Identify and manage project and infrastructure-related risks.
  • Ensure projects comply with applicable statutory, regulatory, building, safety, and environmental requirements.
  • Ensure appropriate risk assessments and safety measures are implemented across project sites.
  • Maintain accurate records of approvals, inspections, certifications, and statutory documentation.

Stakeholder Management

  • Partner with Finance, HR, Operations, Retail, IT, Procurement, Marketing, and other business functions on infrastructure and project requirements.
  • Provide technical and project-related guidance to stakeholders.
  • Facilitate project meetings and ensure actions, decisions, and dependencies are properly tracked.
  • Communicate project updates, risks, changes, and key decisions clearly to management and stakeholders.

Requirements

  • Bachelor’s degree in Engineering, Project Management, Construction Management, Quantity Surveying, Architecture, Facilities Management, or a related discipline.
  • Relevant professional certification in Project Management, Engineering, Facilities Management, or a related field is an advantage.
  • Minimum of 7–10 years’ relevant experience, with significant experience managing infrastructure, facilities, construction, or business projects.
  • Proven experience managing multiple projects simultaneously, preferably within a retail, commercial, FMCG, hospitality, or similarly fast-paced environment.
  • Experience managing contractors, consultants, vendors, budgets, and project teams.
  • Strong understanding of project management principles, construction processes, facilities management, and infrastructure maintenance.
