Roles and Responsibilities
- Guest Reception: Welcome guests, visitors, and prospective customers warmly and professionally.
- Customer Relations: Maintain excellent customer relations by being polite, courteous, patient, and helpful at all times.
- Check-in and Check-out: Handle guest arrivals and departures efficiently, ensuring that all required information is properly recorded.
- Telephone Management: Answer incoming calls promptly, respond to enquiries, and direct calls to the appropriate departments or personnel.
- Reservations and Bookings: Manage apartment reservations, confirm bookings, update availability records, and avoid double bookings.
- Guest Information: Provide accurate information about apartment rates, facilities, house rules, available services, and nearby locations.
- Guest Complaints: Listen to guest complaints, resolve minor issues professionally, and escalate serious complaints to management.
- Payment and Record Keeping: Maintain accurate records of guest payments, outstanding balances, invoices, and other approved transactions.
- Communication: Liaise with housekeeping, maintenance, security, and management to ensure guests receive prompt and satisfactory service.
- Room and Apartment Status: Confirm apartment readiness and availability with housekeeping before assigning rooms to incoming guests.
- Front Desk Management: Keep the reception area clean, organized, presentable, and properly equipped.
- Guest Records and Confidentiality: Maintain accurate guest information and protect guests' personal details and privacy.
- Daily Reporting: Prepare and submit daily reports on arrivals, departures, occupancy, reservations, payments, and outstanding issues.
- Security Awareness: Monitor visitors in line with apartment policies and promptly report suspicious activities or security concerns.
- Professional Conduct: Maintain a smart appearance, punctuality, honesty, confidentiality, and a positive attitude while on duty.
Qualifications and Requirements
- Minimum of OND or an equivalent qualification.
- Previous experience in reception, front office, customer service, or hospitality is an advantage.
- Must have excellent customer relations and communication skills.
- Good computer skills and the ability to use booking systems.
- Good organizational, interpersonal, and problem-solving skills.
- Ability to work under pressure, multitask, and pay attention to detail.
- Must be honest, responsible, courteous, and presentable.
- Must have good customer relation.
