Role objective
- The Front Desk / Billing Officer is the first person a patient meets at a BeaconHealth clinic, and often the last.
- You will handle enquiries from patients and referring clinicians, guide patients through their visit, take payment and issue receipts, capture patient information accurately, and follow up afterwards.
- The role sits at the point where patient experience, revenue, and data quality all meet, which is what makes it one of the most important jobs in the clinic.
- Booking, billing, insurance, and patient records all run through BeaconOS, our own platform, which you will be trained on during onboarding.
Key responsibilities
Reporting to the Center Manager, responsibilities include:
Handling enquiries:
- Answer phone and in-person enquiries from patients, family members, and referring clinicians courteously
- Establish quickly why someone is calling and how best to help them
- Connect callers with the Center Manager where a request falls outside the front desk remit
- Contact referring hospitals about any discrepancy in payments
Guiding patients through their visit:
- Welcome every patient warmly and greet them in the language they are most comfortable with
- Establish which procedures they need or which partner facility referred them
- Collect the referral form, look up prices, and communicate them clearly
- Obtain referrals and pre-authorisations required for procedures
- Direct patients to the waiting area and notify the relevant department that a patient is waiting
- Pass the referral form to the relevant department once booking is confirmed
- Collect printed results and hand them to the patient in a clean envelope
Billing and payment:
- Review patient bills for accuracy and completeness and obtain any missing information
- Check eligibility and verify benefits for tests and procedures
- Collect payment and issue receipts
- Refer pricing concerns to the Center Manager, who can consider financial support where possible
- Review accounts for insurance follow-up and appeal denied claims
Capturing patient information:
- Document every patient visit accurately in BeaconOS
- Update visit details as soon as further information becomes available
- Book patients for their procedures and maintain accurate records of bookings
Feedback and follow-up:
- Ask patients for feedback on how we can improve
- Support bi-annual patient surveys
- Communicate any patient issue to the relevant department and escalate concerns to the Center Manager
Requirements
- OND, HND, or Bachelor's degree in any discipline
- Minimum of 1 year's experience in a front desk, customer service, or billing role
- Confident handling cash and issuing receipts accurately
- Excellent spoken communication and a genuinely warm manner with patients
- Accurate data entry and attention to detail
- Able to stay composed and courteous during busy periods
- Computer literate and comfortable working in a digital record system — we train every new hire on BeaconOS, our own clinical platform, during onboarding.
Preferred:
- Experience in a healthcare, clinic, or hospital front desk role
- Familiarity with health insurance verification and claims processes
- Fluency in the local language spoken by patients at this clinic
- Experience handling patient billing or reconciliation.
